Perfect Sense Counselling is a therapy practice that offers counselling services for a range of issues and concerns in Maitland, Cessnock, and Glendale. 

Perfect Sense Counselling is a private practice. As such we do not offer bulk-billed services. However, many of our therapist services fall under the Medicare initiative where you can receive a Medicare subsidy for up to 10 sessions per calendar year as long as you have a current Mental Health Care Plan (MHCP). Or you may be eligible for a rebate with your private health insurance fund.

At Perfect sense Counselling the confidentiality of the therapy process, the qualifications of the therapists, and the ways in which treatment plans are customised for each individual’s needs is paramount and essential in the process of your recovery.   

What you will need to be eligible for Workers Compensation and CTP Insurance with us is:  

You will need to be referred by your treating doctor and have approval for psychology services from the insurer. Workers Compensation insurers typical. 

In most cases where approval has been provided services are fully funded by the insurer without cost to the patient. 

What you will need before making an appointment with us for Workers Compensation or CTP services 

Before booking an appointment, we will need to have received: 

1. Contact details for the Insurance company or the icare Case Manager 

2. Your Claim Number 

3. A valid referral letter from your treating doctor 

4. An approval notification from the insurance company (or icare) 

5. Your completed Client Registration Form and Consent form.

At Prefect Sense Counselling we have individual therapists that are a registered National Disability Insurance Scheme (NDIS) provider. This is an important service for individuals living with disabilities, offering comprehensive support for mental health and personal development. The range of treatments available can significantly improve the quality of life for NDIS participants by addressing issues like depression, anxiety, and low self-esteem, while helping them build a path forward in various areas of life. 

By providing tailored mental health treatments, the focus on boosting confidence, increasing social connectedness, and improving relationships is crucial for fostering a sense of belonging and empowerment. These are all key aspects of NDIS support that can help individuals lead a more fulfilling and independent life. 

Additionally, at Perfect Sense Counselling we work on guiding people toward their goals, increasing motivation, and supporting their entry into the workforce can make a substantial impact on long-term personal growth and integration into society.

Services funded through the National Disability Insurance Scheme (NDIS) are charged according to current NDIS Support Catalogue. 

NDIS clients can access our services where their plan states that Improved Daily Living Supports are: 

1. Self-managed: Where the participant claims funding from their NDIS plan to pay providers themselves or have their plan nominee or child representative do this on their behalf. In this case providers will invoice them directly for supports they have agreed the providers will provide. 

IMPORTANT: An invoice will be issued at the end of appointment  

2. Plan-managed: Where the plan management provider will make claims and pay providers on the participant’s behalf for supports, they have agreed the provider will provide. 

IMPORTANT: The invoices will be sent to the nominated Plan Manager. The participant will only incur costs where we are unable to receive payment through the NDIS. 

What you will need to be eligible for NDIS services with us is:  

A current NDIS plan, this must include Improved Daily Living funding available for the number of hours you allocate to us to provide the service. This is usually listed in the NDIS Plan under Capacity Building Support in the Funded Supports Information section. 

What you will need before making an appointment for NDIS services 

Before booking an appointment, we will need to have received: 

1. A copy of the participant’s current NDIS plan 

2. After the first appointment a service agreement will be done by us for both parties to sign before moving forward with appointments. 


Medicare sessions must be paid in full at the end of each session. We usually arrange for your Medicare claim to be lodged at the time of payment on the same day of your appointment. Most clients receive their rebate in their nominated bank account within 2 business days. 

To receive a Medicare rebate, you will need to be referred by your doctor through one of the following Medicare programs. 

What you will need before making an appointment with us for Medicare services 

Before booking a Medicare session you will need to send us: 

6. A copy of the current Mental Health Treatment Plan (MHTP) completed by a General Practitioner or Psychiatrist (for Better Access only). 

7. A referral signed by a General Practitioner, psychiatrist or paediatrician which includes the following information: 

  • Patient’s name 
  • Patient’s date of birth 
  • Patient’s address 
  • Diagnosis 
  • List of any current medications 
  • Number of sessions the patient is being referred for. 

8. Your completed Client Registration Form and Consent form. 

Receiving your rebate for Medicare services 

If you or your doctor have provided us with a valid referral, we can usually arrange your Medicare claim on the day after we receive your payment.

The NSW Victims Support Scheme provides a number of different services: These services are dependent on the crime occurring in NSW. 

Services may include: 

  • Counselling 
  • Financial Assistance for immediate needs 
  • Financial Assistance for economic loss. 
  • Recognition payments. 

At Perfect Sense Counselling we offer assistance for applications for counselling for clients if required. 

No referral is required to attend an appointment with any of our therapists, however this is an out-of-pocket fee that you will pay to utilise this service. 


This Service Agreement sets out your rights and responsibilities in relation to confidentiality, informed consent, code of conduct, and fee schedule. 

Confidentiality Agreement 

All employees of Perfect Sense Counselling agree to safeguard the confidentiality of information obtained during their provision of services. Considering their legal and organisational requirements, our therapists: 

  • ●  Make provisions for maintaining confidentiality in the collection, recording, accessing, storage, dissemination, and disposal of information. 
  • ●  Take reasonable steps to protect the confidentiality of information after they leave a specific work setting or cease to provide treatment services. 

All employees of Perfect Sense Counselling agree to disclose confidential information obtained in the course of their provision of services only under any one or more of the following circumstances: 

  • ●  With the consent of the relevant client or a person with legal authority to act on behalf of the client. 
  • ●  Where there is a legal obligation to do so. 
  • ●  If there is an immediate and specified risk of harm to an identifiable person or persons that can be averted only by disclosing information. 

Informed Consent 

  • ●  All employees of Perfect Sense Counselling agree to fully inform clients regarding the psychological services they intend to provide, unless an explicit exception has been agreed upon in advance, or it is not reasonably possible to obtain informed consent. 
  • ●  All employees of Perfect Sense Counselling who are providing services to children or young people will abide by any relevant legislative requirements in relation to informed consent. 

Employee Code of Conduct 

In the course of their conduct, all employees of Perfect Sense Counselling agree to: 

● Communicate respect for other people through their actions and language. 
● Establish and maintain clear professional boundaries. 
● Do not behave in a manner that, having regard to the context, may reasonably be perceived as coercive     or demeaning. 
● Respect the legal rights and moral rights of others. 
● Agree to respect and maintain timeframes of scheduled appointments. 

Client Code of Conduct 

In the course of their conduct, all clients of Perfect Sense Counselling agree to: 

● Treat your therapist, employees of Perfect Sense Counselling, and other clients with respect and courtesy. Perfect Sense Counselling reserves the right to cease your treatment if you engage in aggressive or abusive behaviour. 

● Raise any issues or concerns you may have about your treatment with Perfect Sense Counselling and work with them to reach a resolution. 

● Agree to respect and maintain timeframes of scheduled appointments and notify Perfect Sense Counselling if appointments cannot be kept. 

● Maintain appropriate boundaries with your therapist. 
● NO recording of sessions without prior consent of all parties.

All fee-paying clients will be asked for payment prior to their appointment. Telehealth or phone clients will be sent a link for payment 

Cancellations 

WC/ CTP 

. Counselling and related costs are paid By your insurance company. 

● 24 hours’ notice is required for cancellation or rescheduling. You are liable for a fee of $100 if this is not adhered to. 

Victims Services 

  • ●  Counselling and related costs are paid by Victims Services. 
  • ●  Additional reports, letters, phone calls, or other related services will be charged to Victims Services. 
  • ●  24 hours’ notice is required for cancellation or rescheduling. 
  • ●  Victims Services allows for 2 missed appointments, after which a reapplication for this service is required. 

● Open Arms allows for 2 missed appointments, after which Open Arms need to be contacted regarding your treatment. 

Open Arms 

  • ●  Counselling and related costs are paid by Open Arms. 
  • ●  Additional reports, letters, phone calls, or other related services will be charged to Open Arms. 

Medicare 

  • ●  Medicare rebates are available and can be submitted on your behalf. 
  • ●  Limited bulk-billed appointments are available to clients suffering hardship. 
  • ●  Additional reports, letters, phone calls, or other related services are not covered by Medicare and if this is required a fee will be charged to you as a client. 

● 24 hours’ notice is required for cancellation or rescheduling. You are liable for a fee of $100 if this is not adhered to. Cancellation fees are not covered by Medicare. 

Private Clients / 

  • ●  Private clients who are not covered by any of the above services are liable for the full fees incurred by the service you receive. 
  • ●  Fees are payable through automatic payment, credit card or visa. 

● 24 hours’ notice is required for cancellation or rescheduling. You are liable for a fee of $100 if this is not adhered to. 

Client Agreement: 

As a client of Perfect Sense Counselling, you agree to abide by the service agreement and understand your rights and responsibilities in relation to confidentiality, informed consent, and code of conduct. By signing this document this demonstrates you agree to and understand the fees and rebates you are entitled to, payment of your account on the day of service, responsibility for cancellations/rescheduling and fees’ liable for missed appointments and/or additional charges agreed upon with your therapist.
